Visa Assistance Terms and Conditions

1. Introduction

Dybo Travel Limited and Dybo Travel Inc. trading as Dybo Travel (hereinafter called Dybo Travel) acts as an agent on behalf of their clients in the submission of applications for visa and ancillary services to the appropriate institutions and/or immigration authorities.

3. Agreement to Terms and Conditions

By making payment for our service, you agree to abide by terms and conditions as set out here. Dybo Travel reserves the right not to provide any service without the client agreeing to our terms and conditions.

 

4. Scope of Services

These Terms & Conditions govern the provision of all services provided by Dybo Travel in the processing of visa applications and other ancillary services for their clients. All orders made by Dybo Travel clients are subject to these terms.

 

5. Visa Processing and Timelines

Dybo Travel aims to process visa applications within the timelines set in promotional materials. However, Dybo Travel does not guarantee specific timeframes and will not be held responsible for delays caused by immigration authorities or third parties.

 

6. Visa Processing Times and Delays

Visa processing times shown in promotional materials are average times and should be used as a guide only. Dybo Travel is not liable for costs incurred due to delays in the visa process.

 

7. Costs Incurred During Processing

Dybo Travel bears no responsibility for costs incurred by applicants while waiting for visa finalization, including but not limited to costs related to flights, accommodation, loss of earnings, or other associated expenses.

 

8. Visa Type and Embassy Decisions

Dybo Travel may apply for a Double or Multiple entry visa on behalf of clients, but the final decision rests with the embassy. Dybo Travel does not have control over the embassy’s decision regarding visa types.

 

9. Booking Flights and Accommodation

Dybo Travel advises clients not to book flights or accommodation until the visa has been granted. Embassies may decide to review applications in a different country, potentially extending processing times.

 

10. Visa Application Advice and Final Decision

Dybo Travel will apply for visas on the client’s behalf but cannot guarantee a positive outcome. The final decision on all applications rests with the relevant immigration authorities.

 

11. Changes in Immigration Policy

Dybo Travel is not responsible for visa refusals or additional costs arising from changes in immigration laws, conflicting advice from different immigration authorities, or outdated information.

 

12. Client’s Responsibility for Documentation

It is the client’s responsibility to provide accurate and complete documentation. Dybo Travel will not be held responsible for delays or issues arising from incomplete or inaccurate information.

 

13. Health Examinations and Medical Costs

Dybo Travel will provide the necessary medical forms but is not responsible for carrying out health examinations or covering related costs. The results of medical examinations and police clearances are valid for 12 months.

 

14. Documentation Validity

The client is responsible for ensuring that all documentation, including medicals, police clearances, and assessments, is valid at the time of submission. Dybo Travel cannot lodge an application with incomplete documentation.

 

15. Fees and Payment Terms

Dybo Travel will not provide services until payment has been made in full. Additional fees may apply for ancillary services, such as medical reports, translations, or document certification.

 

16. Refund Policy

Payments for Dybo Travel’s services are non-refundable after service has been engaged. Refunds may be available under specific conditions, including within 30 minutes of payment before work has commenced.

 

17. Cancellation and Refund Conditions

Dybo Travel will not refund fees paid for services once the visa application has been lodged. Certain fees may apply if the client withdraws the visa application before submission.

 

18. Changes to Service Providers

Dybo Travel reserves the right to change product providers or ancillary service providers as deemed appropriate.

 

19. Passport and Visa Reallocation

Clients must travel with the same passport used in their application. If a new passport is obtained, the client must contact Dybo Travel for visa reallocation, which may incur additional fees.

 

20. Liability for Lost or Damaged Documents

Dybo Travel’s liability for lost or damaged documents is limited to the actual value of the documents, up to a maximum of €50/£50 per application.

 

21. Visa Application Submissions via Agents

Visa applications submitted by an agent on behalf of a client will be treated as an application from the client directly. All terms and conditions apply equally to both the agent and the client.

 

22. Third-Party Service Providers

If Dybo Travel acts as an intermediary for third-party products or services, the client is bound by the third party’s terms and conditions.

 

23. Limitation of Liability

Dybo Travel is not responsible for any costs, loss, or damage incurred once the contracted visa service is completed.

 

24. Communication and Confidentiality

Dybo Travel ensures that all correspondence with immigration authorities is confidential. It is the client’s responsibility to familiarize themselves with the visa activation date and ensure timely entry.

 

25. Visa Terms and Conditions

Clients must comply with visa terms, and Dybo Travel is not responsible for any penalties incurred due to failure to abide by these terms, including overstaying or incorrect visa details.

 

26. Client Disclosure Responsibility

It is the client’s responsibility to disclose any relevant information that could adversely affect their visa application, such as serious medical conditions or criminal convictions.

 

27. Visa Cancellation Due to False Information

If it is discovered that false or misleading information was provided during the visa application process, Dybo Travel bears no responsibility for any consequences arising from the cancellation of the visa.

 

28. Changes to Service Terms

Dybo Travel may amend these terms and conditions at any time. The submission of an application constitutes agreement to these terms and any future amendments.

 

29. End of Service

The provision of visa services concludes once the immigration authority has made a decision on the visa application. Dybo Travel may provide information or opinions on other services, but these are not part of the original service.

 

30. Miscellaneous Terms

Any other terms not covered above, including disputes or updates to services, will be addressed in accordance with Dybo Travel’s operational policies.

 

31. Communication Opt-Out

Clients can opt-out of receiving updates and correspondence from Dybo Travel by emailing info@dybotravel.com or calling Dybo Travel directly.

 

Data Protection Policy

GDPR Statement

Dybo Travel takes the collection, processing and management of customer data very seriously. The company strives to be fully GDPR compliant and routinely reviews our data management policies. We will only collect data that is required for the company’s operation of visa assistance, tour bookings and any travel related product offerings. This is primarily customer contact data and any details of special requirements our customers may have. We therefore typically process the following types of personal information about you:

 

      • contact information (such as name, residential/mailing address, telephone number, email address);
      • passport details;
      • payment account information (credit/debit card details, including card type, card number, security number and expiry date);
      • employment information, bank statements and proof of assets (as required)
      • information about your dietary requirements and health issues (if any); and when you make contact with us for other purposes, we may also collect personal information about you in relation to those purposes.

 

This data will never be sold or passed on to any third party, other than those directly associated with the processing of bookings for example our reservation system, printing and mailing house for brochure dispatch and approved by Dybo Travel. You have the right to request a copy of data that is held by Dybo Travel. Should you wish to make a booking, but not receive future marketing information, any data collected will only be used in the completion and undertaking of any current or future bookings.

 

What is GDPR?

General Data Protection Regulation (GDPR) is a new set of laws that replaced the Data Protection Act on 25th May 2018. They give more control to individuals on how information about them is collected, stored and used.
